The shared-responsibility starting point
Every Microsoft 365 backup conversation should start with the shared-responsibility model. Microsoft is responsible for platform availability — keeping the service running and the infrastructure secure. You are responsible for your data — protecting it against accidental deletion, malicious actions, retention-policy gaps and ransomware.
This does not mean Microsoft provides no data protection. Recycle Bin retention, versioning and litigation hold are useful features. But they were designed for compliance and collaboration convenience, not as a comprehensive backup-and-recovery strategy.

- Single-platform risk tolerance: Are you comfortable with your backup data residing in the same ecosystem as your production data? If a Microsoft-wide incident affected your tenant, would your backup be impacted too?
- Retention requirements: Do Microsoft's available retention options meet your compliance and operational needs, or do you need longer, more flexible retention windows?
- Environment scope: Do you only need M365 backup, or do you want a single platform that also covers endpoints, servers, SaaS applications and cloud workloads?
- Operating model: Are you an MSP managing multiple tenants? Multi-tenant management, consolidated billing and delegated administration are typically stronger in third-party platforms built for the channel.
- Data residency: Does your data need to reside in a specific geography? Third-party solutions with local hosting (such as South African data centres) offer explicit control over data location.
