Microsoft 365 service availability does not remove the need for independent data protection. MSPs can close the gap with backup, email security and incident recovery built as one service.

Microsoft 365 has become the operating system of modern work. Email, files, collaboration, identities and business decisions now converge in Exchange Online, OneDrive, SharePoint and Teams. That concentration delivers enormous productivity—but it also concentrates risk.

A common client assumption is that because Microsoft operates the cloud service, every deleted, encrypted or maliciously altered item can always be recovered. Service availability and data recoverability are not the same thing. Retention features are valuable, but they are not a complete substitute for an independently managed backup and recovery service.

The threat is already inside the productivity layer

The Acronis Cyberthreats Report H1 2025 found malware in 1.47% of Microsoft 365 email backups analysed. The finding is important because it shows that malicious content can exist inside data that organisations assume is safe.

Microsoft’s Digital Defense Report 2025 reported that 80% of investigated incidents involved attempts to steal data, while extortion and ransomware accounted for more than half of attacks with a known motive. Cloud data is not peripheral to that objective; it is often the prize.

How Microsoft 365 data is lost

Not every loss is a platform failure. A user can delete a folder, a departing employee can remove content, a compromised account can manipulate or exfiltrate data, a synchronisation error can propagate deletion and an attacker can abuse trusted sharing or mailbox rules. Native retention may not match the client’s required retention period, and recovery across multiple users or sites can become operationally difficult.

The MSP therefore needs to ask a better question than “Is Microsoft 365 up?” The question is: “Can we restore the right business data to the right point in time, at the scale and speed the client needs?”

Monthly service reviews can then report protected versus discovered objects, failed or excluded workloads, storage and retention trends, restore activity and security events. Test restores should be scheduled rather than postponed until an emergency. For high-value data, recovery targets should be documented and agreed.

Clients already understand the cost of Microsoft 365 because they pay per user. That makes a per-user resilience service easy to explain: for each active user, protect the data, reduce the email threat, monitor security signals and maintain a tested recovery path.
